Steps 2-5 overlap — the best implementations move fast while maintaining quality.

Step 1: Requirements & Process Mapping

Duration: Week 1

I map your current sales and customer management processes, identify pain points, and define exactly what the CRM needs to do. This includes interviewing sales reps, management, and support teams to understand their workflows, data needs, and reporting requirements.

Deliverables

  • Process maps
  • Requirements document
  • Pain point analysis

Step 2: Platform Selection

Duration: Weeks 1-2

I evaluate CRM platforms against your requirements — Salesforce, HubSpot, Pipedrive, Zoho, or industry-specific solutions. I consider total cost of ownership, scalability, integration requirements, and team adoption likelihood. I recommend the best fit and help you negotiate pricing.

Deliverables

  • Platform evaluation matrix
  • Vendor recommendations
  • Cost comparison

Step 3: Data Migration & Cleanup

Duration: Weeks 2-4

I manage the data migration process: deduplicating records, standardizing formats, enriching missing data, and mapping fields from your old system to the new one. Clean data is the foundation of a CRM that your team will actually use.

Deliverables

  • Data cleanup report
  • Migration scripts
  • Field mapping document

Step 4: System Configuration & Integration

Duration: Weeks 3-5

I configure the CRM to match your processes: pipeline stages, automation rules, email integration, calendar sync, reporting dashboards, and any third-party integrations (accounting, marketing automation, customer support). The system is built around how your team works.

Deliverables

  • Configured CRM instance
  • Integration setup
  • Dashboard templates
  • Automation rules

Step 5: Team Training & Adoption

Duration: Weeks 4-6

I train your team on the new system — not generic training, but role-specific sessions tailored to how sales reps, managers, and support staff will use the CRM day-to-day. I also set up adoption tracking and build incentives for consistent usage.

Deliverables

  • Role-specific training materials
  • Training session delivery
  • Adoption dashboard
  • Quick reference guides

Step 6: Launch, Support & Optimization

Duration: Ongoing

I support the go-live, address issues as they arise, and monitor adoption metrics. Over the following weeks, I optimize workflows, refine dashboards based on user feedback, and ensure the CRM becomes an indispensable tool for your team rather than an administrative burden.

Deliverables

  • Go-live support
  • User feedback analysis
  • Optimization recommendations
  • Ongoing support framework

Why This Process Works

CRM implementations fail for one reason more than any other: the team does not use the system. This is almost always because the CRM was configured without understanding how the sales team actually works, or because data quality was poor from day one.

My process puts adoption at the center. I start by understanding your team\'s workflows, select a platform that fits your culture and budget, clean your data before migration, and train each role on exactly what they need to know. The result is a CRM that your team wants to use — not one they are forced to use.
